Time Management That Actually Works: The Heather Ferrari Way

Time. The one thing we all wish we had more of and the one thing we waste faster than our third cup of coffee by 10am. If you’re reading this, you’re probably wearing seventeen hats (leader, parent, visionary, fire-putter-outer, dream chaser). You’re also probably asking yourself: “How do I get it all done without losing my mind or missing my daughter’s volleyball game...again?”

Friend, it’s time to stop wearing burnout like a badge of honor. I’m going to show you how to manage your time in a way that actually makes room for what matters—and still gets the job done.

The Myth of Balance

Let’s kill the myth that time management is about perfect balance. It’s not. You’re not a teeter-totter, you’re a person with a mission. True time mastery is about aligning your time with your priorities. What gets scheduled gets done. What doesn’t? Lives rent-free in your guilt.

Why Most Time Management Fails (And How to Fix It)

  1. Too vague. "Get more organized" is not a time management plan. It's a wish.
  2. Reactive mode. If you're spending your days putting out fires, you’re not building anything—you’re surviving.
  3. No systems. If you’re relying on memory or 43 post-it notes, you’re sabotaging yourself.

Fix: You need a system that is repeatable, visual, and tailored to your energy levels—not someone else’s Pinterest-perfect planner.

Step One: Rocks, Pebbles, Sand

This is my ride-or-die framework from Stephen Covey. Visualize your week like a jar:

  • Rocks = Priorities. The most important tasks that move your life or business forward. Book the client. Call the lead. Write the proposal.
  • Pebbles = Supporting tasks. Admin, emails, light lifting.
  • Sand = Distractions. Social scrolls, inbox doom, reactive busyness.

Put the rocks in first or the sand will eat your week.

Step Two: Create Your Time-Blocked Week

Here’s a formula I teach my 1:1 clients:

  • Morning Focus Block (1-2 hours): Deep work. No calls. No meetings. Turn off notifications. This is where million-dollar decisions happen.
  • Revenue Hour (daily): Reach-outs, follow-ups, moving money.
  • Meeting Windows: Batch them! I take mine Tues/Weds from 10-2.
  • Creative Time: Content, strategy, CEO thinking.
  • Admin Block: Emails, bills, project updates.
  • Flex Buffer: Life happens. Don’t pack yourself to the brim.

Tools I love: Google Calendar, Calendly, Notion, paper planner with a highlighter. Color code it if you want to see where your time is actually going.

Step Three: Audit & Adjust

Every Sunday, I do a 15-minute audit:

  • What did I get done?
  • What derailed me?
  • Where did I say yes when I should’ve said “not this week”?
  • What’s a win I need to celebrate?

The goal isn’t perfection. It’s alignment.

The Time Lies You Need to Stop Believing

  • “I’m just bad at time management.” Nope. You’re not using the right system.
  • “I don’t have time.” You have time for what you prioritize.
  • “I need to do everything.” Actually, you need to do what only YOU can do. Delegate the rest.

Bonus Tip: Energy Management > Time Management

If you’re drained by 2pm, don’t schedule your most important work then. Match your hardest work with your peak energy. Time is the container. Energy is the fuel.

Managing your time well isn’t about squeezing in more. It’s about making space to breathe, to think, to lead like the powerful human you are.

Your team doesn’t need a frazzled, reactive boss. They need a grounded, intentional leader.

Your dream doesn’t need your burnout. It needs your discipline.
